When You Are Planning To Compete In Business, You Need Desktop Management

Every business that succeeds grows, and as it grows their communication and information technology needs grow. Step by step a computer finds its way onto each desk in the office as each employee strives to stay at the leading edge of the business. Keeping these computers in touch with one another and properly maintained requires skilled desktop management.

The first and probably most used interconnecting use is the ubiquitous office electronic mail system. As soon as it is set up, it becomes extremely popular, and for good reason, it offers the fastest and surest communication method. And the fact that it can also eliminate a few meetings probably helps explain the popularity. Setting up a system that allows the employees to communicate with one another and their clients from anywhere and at anytime makes them much more productive and efficient. Information can be transmitted literally instantly to all employees simultaneously. Individuals who are on a trip, on holiday or sick can still get the information on mobile devices or at the latest when they first step back into their office. Having a team of professionals dedicated to the job of nurturing the information systems network really can increase the productivity of employees and the company overall, boosting the bottom line despite the cost if installation and upkeep. The notion of dedicating a team to this process smells a little like inflated bureaucracy, but this increase in personnel has a demonstrable positive effect on profit. The centralization of computer care makes them more efficient in a number of ways. First and foremost, it allows the company to be sure that all the computer products are compatible, which can save a lot of embarrassment and loss resulting from data which can not be presented. It also ensures that all the software in the system is standard, meaning that there are no special programs that individual employees may have fallen in love with.

Most of us have computers at home, so a relative skill level in dealing with hardware and software is a common enough ability, but so too is the realization that sometimes these supposedly self installing programs do not exactly pan out. The software makers do their best, but there are simply too many possible installation configurations for them to anticipate all of them, and sometimes they cause conflicts. The time it takes to correct these conflicts can cost a lot of man hours, and if they occur at the wrong time, they could cost much more. This method of maintaining the information system also helps preserve the integrity of this process, which is often sabotaged by well meaning and hard working employees who mean well. Invariably employees have experimented with a wide variety of programs on their home systems, and often grow quite fond of specific capabilities. In the attempt to either use the same productivity in the office or the desire to share their favorite program, they introduce these favorite programs to the work system.

One of the most common mistakes hardworking, dedicated employees make is bringing work home and then bringing it back, especially if they use their home computer to do the work at home. All the energy effort and money spent to keep the malicious software constantly attacking from the world wide web out of your system could be lost with a single thumb drive. Rarely do home systems have the same level of protection desktop management team installs on the business system, which means the overworking employee could be introducing harmful electrons from home.

There is an ironic truth in the management complaint that computers have made the business so complex that if the power goes off or the information technology freezes up, everybody may as well go home. It has come to pass that we are so deeply invested in computers to operate on a daily business that we can not continue to operate without them. While this is literally true in many manufacturing and financial sectors, it is also beginning to be the state of affairs for nearly every company, and highlights the need for systems management software.

 

Information is the lifeblood of industry, from determining what product or service is needed to handling the myriad requirements that must all be pulled together to create them. Knowing the customer is a complicated business that is not intuitively obvious, and those who crack the code first are the most successful. Information is the key to the code, and information technology allows for its collection and analysis. As this new era of automation matures, the quest for ever greater detail in the information collected and studied grows until there comes a point where there is simply too much to effectively make sense of.

 

Not only is the business of manufacturing a goldmine of data, but even how we find, hire, manage and motivate our workforce is the subject of mountains of information. The process of garnering this information, however, has become an enormous task outside the normal skill set of management. Increasingly we find businesses outsourcing portions of, if not the entire process.

 

There is no question that the greater the quantity of valuable accurate data a business has to feed into the decision making process, the more likely a correct decision will be arrived at to the benefit of the company. The problem is knowing how much data is enough, and which data is useful. A manager needs to know what data was collected and under what conditions to understand the information from it. Trying to keep track of all the individual input through his area of operational control necessarily requires precious time sacrificed from running the business.

 

The reason information systems became such an integral part of business is their ability to enhance the decision making process. When the use of the system becomes so cumbersome and time consuming that it cuts into the time a manager has to explore data and make operational decisions, it has stopped enhancing the business. The complexity of our tools is rapidly becoming more problematic than running a business without them. While there is certainly reason to expend energy training management on new tools and software, it should not continue to erode their time on a day to day basis.

 

It is the essence of management to see the bigger picture, to make the decisions that will not only allow for the day to day business to get done, but to have a solid feel for what needs to be done to stay in business tomorrow. These two aspects of leadership conflict with a critical element of the reality of management, balancing time requirements. To that end, information systems were initiated to allow the manager greater access to information more quickly. While this has been a success, the data has become increasingly complex, and more and more time is eaten up processing it.

 

All leaders intrinsically want to have a feel for what their company is doing. There is no scarier feeling than being responsible for something and not having the first hand knowledge of what is being done to make it happen. This does not mean that the CEO of a company needs to know the name, start time destination and cargo of every truck carrying product within his company, that is what the management hierarchy is about. Unfortunately, the nature of man is to be curious, and if the data is available it is difficult not to get captured in the mountains of minutia.

 

Allowing the manager to spend their time using the data is the goal of information technology, and that means that while they need to understand what and how information is selected for their use, they need to be able to rely on data that is collected and provided to them as they need it. If new data geographic information is useful in determining which stores need more or less product, then they need a means to tell the computer to collect it for them. Systems management software provides the means for management to go from slave to the machine to leader of an industry.
